Job Description

Job Summary: This position is responsible for managing the day to day activities of the Company’s fleet per business needs, budget specifications, and applicable regulation.  This position will contribute to key decisions related to purchasing and maintenance and will also coordinate the efforts of team members and third-party contractors and consultants in order to meet deliverables.

Primary Responsibilities:

  • Organize, direct, and oversee the functions and activities related to the procurement, servicing, operation, maintenance and repair of 1,200+ vehicles
  • Coordinate the purchasing and ensure optimal pricing and quality of vehicles
  • Order, process, and assign fuel cards, PINs, insurance cards, maintenance cards and other related items
  • Monitor, evaluate, and determine the priority of vehicle maintenance, servicing, and repair needs
  • Audit processes such as CAP cost and mileage
  • Oversee weekly mailing of documents, tags, renewals, gas, and maintenance cards
  • Receive and process vehicle accident and damage reports
  • Coordinate the receipt and disposal of equipment in order to maximize utilization of the vehicles
  • Coordinate the transfer of vehicles as required
  • Oversee the ordering, monitoring, installation, and updating of GPS systems
  • Ensure compliance with all DOT and other applicable regulation
  • Ensure compliance with all DOT Regulations and all internal requirements
  • Interpret, apply, and educate field management on fleet related policies and procedures
  • Metrics and reporting
  • Other duties as assigned

Supervisory Job Duties:

  • Carries out supervisory duties in accordance with the Company’s objectives, policies, and applicable laws.  Responsibilities may include but are not limited to: planning, assigning, and directing work, interviewing, hiring, training, evaluating performance, rewarding and disciplining employees, addressing employee concerns, and partnering with HR to resolve escalated employee matters. 

Job Requirements



  • Bachelor’s degree in Supply Chain & Logistics, Business, or Management, or other related field; or a combination of education and other relevant experience


  • Four to six years working knowledge of fleet management and maintenance programs
  • Proven ability to manage functions and activities related to the procurement, servicing, operation, maintenance, and repair of vehicles
  • Knowledgeable of the practices and procedures involved in researching, comparing, and purchasing vehicles, equipment, and supplies
  • Proficient knowledge of OSHA regulations to establish safety policies and procedures for fleet service operations
  • Proven knowledge of DOT regulations, governing the use of commercial vehicles, as well as strong mechanical aptitude and working knowledge of vehicle systems, components, and design characteristics
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals


Technical Skills:

  • Microsoft Office proficiency
  • Advanced applications software experience (Excel and accounting software); must be able to create charts, pivot tables, use v-lookups, and logical operators


Soft Skills:

  • Highly organized and detail orientated
  • Ability to multi-task and work in a fast-paced environment under tight deadlines
  • Must be able to gather information from multiple sources, understand gaps in data, and drive solutions to provide data analysis
  • Strong verbal and written communication skills
  • The ability to lead, teach, train, and motivate staff


Physical Requirements:

  • Must be able to pass pre-employment screening that includes background and drug testing
  • Must have a valid driver’s license and a driving record that meets Company requirements
  • Sitting at a desk for 6-8 hours a day
  • Working on a computer for 6-8 hours a day
  • May be required to work long and unpredictable hours
  • Light travel may be required
