Job Description

The Administrative Assistant will be responsible for performing a wide variety of administrative functions as required by daily operations in the local office.

Primary Responsibilities:

  • Greets and directs visitors to the company
  • Answer phones, take messages and/or answers all routine and non-routine questions 
  • Responsible for accurately typing and creating clear general memo’s and correspondence as required
  • Prepare expense reports
  • Process subcontractor invoices
  • Update and maintain revenue/cost  spreadsheets on a weekly basis in Excel
  • Correspond weekly with subcontractors and offsite supervisors to collect weekly billing information
  • Handle subcontractor waivers and agreements
  • Assist with other related clerical duties such as general data entry, photocopying, faxing, filing and collating
  • All other duties as assigned

Job Requirements


  • High school diploma plus 2 years’ administrative experience and/or training; or equivalent combination of education and experience


  • Billing experience is preferred, but not required
  • Efficient typing and data entry skills     

Technical Skills:

  • Microsoft Office proficiency (Emphasis on Outlook and Excel)

 Soft Skills:

  • Highly organized and detail orientated
  • Ability to multi-task and work in a fast paced environment
  • Excellent interpersonal and customer service skills     

Physical Requirements:

  • Must be able to pass pre-employment screening that includes background and drug testing
  • Individuals must have a valid driver’s license and driving record meeting the company policy conditions
  • Sitting at a desk for 6-8 hours a day
  • Working on a computer for 6-8 hours a day
